Policy and Procedures
Below, you will find policies and procedures for student’s while on placement.
Code of Conduct
Field Placement students:
Will treat everyone with dignity.
Will respect unique differences in culture, religion, race and sexual orientation.
Will respect confidentiality and avoid engaging in the unnecessary discussion of others.
Will not use or condone the use of harsh, demeaning or degrading language.
Will cooperate with others.
Will be present at the Agency/Service as determined by a schedule designed in collaboration with the Agency/Service, student and College. Absences, late arrivals or early departures are not encouraged and must be negotiated with the Agency/Service and the College.
Will dress appropriately as directed by the Agency/Service policy and practice.
Will not use or consume alcohol or illegal substances while scheduled to be at placement. Any impairment of a student’s ability to perform their duties linked to drug or alcohol use will not be tolerated, i.e. having a hangover or smelling of alcohol.
Students who are taking prescription medication, which may impact negatively on their functioning, need to inform their Field Placement Supervisor.
Will use appropriate humor in his or her exchanges with everyone. Racist, sexist or offensive comments will not be tolerated.
Will not engage in the sexual harassment of others.
Will manage their personal demands in such a way that they can devote the time and energy required to participate fully in their learning.
Will be honest in carrying out responsibilities. Examples of dishonesty include lying, cheating, stealing, misuse of Agency/Service resources, and falsification of records.
Will not engage in an intimate relationship with their Field Placement Supervisor throughout the duration of their placement as this can lead to potential issues and conflicts of interest.
Will not engage in inappropriate behavior. Examples are loss of emotional control, threatening behavior, behavior that disrupts others or constitutes a danger to self or others.
Will not engage in any illegal behavior.

Health & Safety
While on unpaid field placements, students have insurance coverage held by the College. Recognizing that students are on placement in a learning capacity, appropriate safeguards and supports must be in place to ensure their safety. The Field Placement Supervisor, on behalf of the Agency/Service, is responsible for maintaining a safe workplace and must ensure that placement students are fully aware and trained in any Agency/Service safety and health related practices and protocols.
Insurance Claim Procedures
Please note that, in the event of an accident, the College has only 48 hours (from the time the incident/accident occurs) to submit the required documentation to the WSIB or private insurer. Keeping in mind that this documentation must be derived not only from the Agency/Service, but also from several sources within the College, one can appreciate how imperative that either your Placement Faculty Facilitator or the Field Liaison be advised of any occurrence immediately, by e-mail, with required documentation (Lambton College Incident Form, Claim Form, Form 7 located in the D2L course shell and a written, detailed incident report) from the Agency/Service.
A verbal report on the incident/accident does not constitute required documentation.
Student Difficulty in the Field
This procedure can be initiated by:
the Student,
the Agency/Service Field Supervisor, or
the Placement Faculty Facilitator
The Placement Faculty Facilitator is available to the student and/or the Agency/Service Field Supervisor regarding any difficulty associated with the field placement. Contact is particularly encouraged should the Agency/Service Field Supervisor have any concerns with the student’s attitude and/or performance.
Early Identification of Problems Is Critical
If a problem cannot be resolved between the student and the Agency/Service Field Supervisor, the formal procedure outlined below should be followed:
If, in the opinion of the Agency/Service Field Supervisor, the student is not performing well and/or responsibly, the Placement Faculty Facilitator will be notified.
The Agency/Service Field Supervisor may be asked to prepare a written report of the student’s performance. Agency/Service Field Supervisors should log supervisory sessions and any meetings or incidents involving the student.
It is the responsibility of the Placement Faculty Facilitator to gather all pertinent information from the parties concerned in order to determine a plan for success. In most situations, a meeting should be arranged with the student, the Agency/Service Field Supervisor and the Placement Faculty Facilitator in order to facilitate the process.
The decisions affecting the student in his/her placement will be communicated to the student and Agency/Service Field Supervisor, in writing, by the Placement Faculty Facilitator.
Unsatisfactory resolution of the problem may result in a failing grade and/or withdrawal from the field placement.
Attendance
In the event of an absence, students are expected to contact their Agency/Service Field Supervisor and the Placement Faculty Facilitator. Any concerns regarding frequent absences should be reported to the placement Faculty Facilitator in order that opportunity is given to review the student’s potential in completing their field placement in a timely manner. Students are to comply with the same work hours expected of employees and are expected to acquire a minimum amount of 60 hours for their placement. Students are expected to track their hours in a Student Placement Log.
Snow Days
If the placement Agency/Service is closed due to weather conditions, then the student is not expected to go into placement and is not expected to make up the day.
Note: Students may choose not to attend an open Agency/Service on inclement weather days, however, the days missed must be made up at another time.
Compassionate Leave
Students with serious personal circumstances, which make it difficult to meet the field attendance requirements, should speak to their Placement Faculty Facilitator about the possibility of a compassionate leave. Every situation will be assessed on an individual basis, considering the circumstances and time involved.
Illness
Students are to inform their Agency/Service Field Supervisor and their Placement Faculty Facilitator if they are not able to attend placement due to illness. The student is to make up days missed due to illness. Concerns regarding placement hours should be directed to the Placement Faculty Facilitator.
Holidays
Students are eligible to take all statutory holidays that fall during the period of their placement.
Religious Observances
Students are entitled to time off from the placement to participate in the religious observances of their faith. The student must ensure that adequate notice has been provided to their Agency/Service Field Supervisor and that their tasks will be covered during their time away.
