Roles and Responsibilities

Below, you will find a breakdown of the roles and responsibilities of all involved in a student’s placement experience.

 

 


College

Online Placement Department & Online Education

  1. To provide academic preparation for students entering field placement.

  2. To provide guidelines to the field placement and the student for the field placement.

  3. To promote field placement opportunities in the community.

  4. To assist in the placement of suitable candidates for placement.

  5. To assign a Placement Faculty Facilitator to the placement.

  6. Act as an advisor for both the student and the Agency/Service Field Supervisor in disputes and assist the student in compliance with College procedures.

  7. To take ultimate responsibility for grading of the student.

Placement Faculty Facilitator

The Placement Faculty Facilitator is the link between Lambton College and the field placement Agency/Service. The Placement Faculty Facilitator will:

  1. Review student information as provided by the Online Placement department.

  2. Meet with student(s) prior to field placement by phone, e-mail or in-person to discuss expectations.

  3. Provide course outlines, handbooks and any other relevant documentation to the student and the Agency/Service in advance of the field placement.

  4. Conduct on-going meetings by phone or e-mail as required. Provide grade input and feedback to the student upon completion of placement.

  5. Ensure that the Agency/Service and Student has liaised with the College Field Placement Liaison in the case of any incident/injury involving a student.

  6. Communicate with the Agency/Service staff member and student, so that concerns/problems can be identified early enough to allow development and implementation of remedial assistance.

  7. Act upon academic and performance concerns identified by the student and/or the Agency/Service staff member by escalating to the Online Placement/Education department.

  8. Monitor those students who are having difficulty at mid-point and those who fail field placement and record and file reasons for failure.

  9. Complete the and ensure that all student evaluation documentation is complete and submitted via D2L.

    • Midterm & final evaluation documentation from the Agency/Service staff member and from the student, as well as her/his own observation, is used as a basis for discussion of the student’s final evaluation for that placement. Final determination of performance level is the responsibility of the assigned Placement Faculty Facilitator.

  10. Student Progress Record: The Placement Faculty Facilitator professional judgment prevails in any situation where there is a disagreement with how the Progress Record was completed by the student or Agency/Service staff member. Grades are assigned by the Placement Faculty Facilitator in conjunction with the College.

  11. Work with the Agency/Service staff member in the development of strategies for supervision of students and implementing any remedial assistance for specific students as required.


College Placement Liaison

The College Field Placement Liaison is the link between Lambton College and the field placement. Responsibilities include:

  1. Facilitate the placement affiliation agreement.

  2. Ensure that any accident injury reporting occurring on the Agency/Service site is reported to the College.

  3. Ensure all “Passport to Placement” documentation has been received and is in order.

  4. Communicate with the Agency/Service regarding students they have agreed to take on for a placement.

  5. Communicate with students regarding confirmation of their acceptance of field placement with the Agency/Service.

  6. Confirm placement arrangements with the Agency/Service and the student.

Student

Note: All students are to read the Lambton College Policies regarding Student’s Rights and Responsibilities found in the College – Student Handbook or at this address: https://www.lambtoncollege.ca/custom/Pages/Policies/Policies.aspx. This includes the policies for grievance procedures related to both academic and non-academic matters.

  1. To complete the requirements of the “Passport to Placement” prior to the field search process.

    • In some circumstances, a student may apply for their placement prior to completion of the Passport but cannot begin placement until the Passport is complete.

  2. Prior to starting placement, students must sign all relevant documentation indicated by the college before heading out on placement.

  3. Know the name, address and telephone number of the field placement Agency/Service assigned for her/his field placement.

  4. Arrange a brief introductory meeting with the assigned Agency/Service staff member.

  5. Upload to D2L, proof of a successful “Passport to Placement.”

  6. Provide proof of typing speed of at least 35 words per minute.

  7. If required, supply a current resume and cover letter.

  8. Arrange transportation to and from the field placement.

  9. In case of absence, notify the field placement Agency/Service staff member and the assigned Placement Faculty Facilitator prior to the start of the student’s shift.

  10. Communicate to the assigned Agency/Service staff member, in a professional manner, the dates and times of the field placement and any required “make-up” days as agreed by the Placement Faculty Facilitator.

  11. Be prepared to discuss, in a professional manner, daily experiences in each setting, attempting to integrate theory with the field placement.

  12. Students with learning disabilities, physical restrictions, medical needs, or other specified restrictions, are encouraged to share this information with the College Accessibility Centre and then notify both the Placement Faculty Facilitator and the Agency/Service staff member that you have an accommodation through the College Accessibility Centre. This will help to facilitate accommodations as required.

  13. Discuss, in a professional manner, with assigned Agency/Service staff member and/or assigned Placement Faculty Facilitator, both positive and negative experiences within the field placement.

  14. Become aware of, and work within, the policies of each Agency/Service.

  15. Know and follow the procedure for reporting of an injury/incident while on field placement.

  16. Maintain confidentiality and sign necessary confidentiality agreement forms (Appendix “A”).

  17. Accept responsibility as a team member of the placement Agency/Service.

  18. Demonstrate activities that meet the identified competencies at the level described for the field placement. A one-time only demonstration of a competency should be documented but may not be sufficient to demonstrate consistency/maintenance of an ability.

  19. Document competencies/tasks observed and executed. Have the Agency/Service staff member initial as having witnessed competencies/tasks.

  20. Evaluate own performance in compliance with individual placement evaluations. (i.e. - the mid-point and end of placement).

  21. Complete the pre-arranged number of days, including make-up days, as set forth by Lambton College. Have a personal “Student Placement Log” signed daily by a company staff member.

  22. If the student is absent from field placement for the purpose of his/her own professional development (e.g. workshops, College information sessions), make-up time and attribution of field hours are at the discretion of the Agency/Service staff member and the Placement Faculty Facilitator.

Report any personal injury to your assigned Agency/Service staff member and Placement Faculty Facilitator immediately. Complete any Agency/Service, as well as College, incident forms
and/or a Workplace Safety and Insurance Board form.

Professional Manner Guidelines

Students, during field placement, are expected to behave in a professional manner by adhering to the following criteria:

  1. Clothing is to be clean and well cared for, and appropriate for the placement setting. Appropriate career attire shall be worn as per Agency/Service standards. Please note that agency standards may vary.

    • Autism & Behavioral Science - Professional Attire

    • Emergency Communications - Professional Attire

    • Food Service Worker - Scrubs

    • Perioperative Nursing - Scrubs

    • Personal Support Worker - Scrubs

    • Sterile Processing - Scrubs

  2. Acceptable jewelry

    • Necklaces, rings and earrings should be chosen with consideration for health and safety of the student and the placement environment

  3. Hair is to be neat, clean and styled in such a fashion as not to pose a health or safety hazard or interfere with own vision.

  4. Name tags are to be worn at all times while on field placement. Agency/Service policy will be followed.

  5. Chewing gum is not permitted on field placement.

  6. Smoking is to be restricted according to Agency/Service policy.

  7. Environmental Sensitivities and Allergies: perfumes/colognes are not permitted on field placement. In respect and consideration of individuals who may have environmental sensitivities or allergic reactions, limit use of heavily scented products such as: hair sprays, shampoos, creams, deodorants and soaps.

  8. Due to safety issues, students should wear closed-toe, non-slip shoes.

  9. Personal electronic devices (i.e. iPad, cell phone, iPod, watch Apps) are not to be used during the field placement training unless required as per direction from the Agency/Service staff member.

Professional Field Practice

Students are expected to demonstrate growth in their field placement. Students are expected to prepare for their experience in order to demonstrate a safe, competent professional practice.

Unprofessional Field Practice

Unprofessional field practice is behavior that places the Agency/Service staff member(s) in either physical or motional risk. Physical risk is the risk of causing physical harm. Emotional risk is when the student creates, through their actions/behavior, an environment of anxiety or distress, which puts the Agency/Service staff member(s) at risk for emotional or psychological harm. Unsafe practice is an incident or pattern of behaviors involving unacceptable risk.

Examples of Unprofessional Behavior:

The following unprofessional practices will result in immediate dismissal and termination of a field
placement; a failing grade will also be assigned:

  1. Attending field placement while under the influence of alcohol or drugs that impede judgment and/or reaction time.

    • Note: if you are required to take prescription drugs that interfere with your work abilities, it is your responsibility to alert your Agency/Service Field Supervisor and your Placement Faculty Facilitator).

  2. Falling asleep while on field placement.

  3. Breaking confidentiality by unauthorized discussion while on or off the company site.

  4. Forging signatures on any field placement documents.

  5. Failing to implement Agency/Service routines/policies.


Agency/Service

Note: Should there be a serious issue or emergency affecting the student in the placement, please contact your Placement Faculty Facilitator, or the Online Placement & Online Education department. If you are unable to reach them, please contact the College Field Placement Liaison.

  1. Review and ensure that the terms of the Agreement for Lambton College Student Clinical/Field Experiences are being met.

  2. To provide a safe learning opportunity for the student.

  3. To assign a specific staff as Agency/Service Field Supervisor and provide time for that person to carry out the responsibility of an Agency/Service Field Supervisor.

  4. Establish an environment whereby the student and staff are comfortable to express feelings and concerns in a professional manner.

  5. To reimburse a student for out-of-pocket expenses incurred in the course of placement duties according to Agency/Service policy.

  6. To permit the student to access information from the organization that will facilitate the learning process, while respecting the confidential nature of the placement.

  7. To provide time for scheduled meetings between the Agency/Service Field Supervisor and student.

Important to note before field placement begins:

  1. Students must complete the requirements for a “Passport to Placement” prior to beginning their field placement.

  2. Agency/Service Field Supervisors are reminded that the College cannot check police records of students. Students are aware that field placements will request this documentation for review.


Agency/Service - Field Supervisor

  1. To accept the responsibility for supervising an placement student.

  2. To develop an orientation program for the student.

  3. Provide on-going feedback to the student about their performance.

  4. Include the student as a responsible member of the staff team.

  5. Document any student concerns, record action taken and notify the assigned Placement Faculty Facilitator to assist in the resolution of the issues.

  6. The company’s staff member is given full support by the Placement Faculty Facilitator to send off-duty any student who is not prepared to function effectively.

  7. Notify the Placement Faculty Facilitator in the event that the student does not complete all makeup hours/days as required by Lambton College.

  8. Meet with the student to provide program information and complete required forms.

  9. The Agency/Service staff member will role model competencies for students, which the student in turn must demonstrate during field placement.

  10. To familiarize the student with the Agency/Service policies and procedures.

  11. To ensure that the student has the opportunity to learn appropriate skills.

  12. To ensure that a student is not left alone for an extended period of time. Students cannot be used as replacement for a staff person due to liability concerns.

  13. To provide regular supervision.

  14. To keep informed of the student’s progress.

  15. To sign off and contribute to the student evaluation process, as indicated by the program placement manual.

  16. Performance evaluations are based on observations and/or staff input. They are prepared and then reviewed with the student and the Agency/Service Field Supervisor.

  17. To inform the Placement Faculty Facilitator immediately of any difficulties encountered with the student, such as inappropriate placement, breach of ethics, lack of ability or suitability for specific placement, frequent absence or injury. Written documentation will be required.

  18. To maintain contact with the Placement Faculty Facilitator.

  19. To recommend a satisfactory or unsatisfactory grade at the end of the field placement.
